Connections
Stop being the glue
between
your OWN SYSTEMS
If you’re copying information from one app into another, that’s not a business process.
That’s a tax on your time.
Think about the last time you manually exported something from one system to paste it into another. Or chased someone for information that should have arrived automatically. Or realised that two tools you’re paying for don’t know the other exists.
That mental overhead adds up. Not as one big obvious cost as a hundred small ones. Every week.
This is exactly the kind of thing that should run itself.
Where we start
01
Get the systems talking
Your CRM, your booking tool, your email list, your AI tools, your accounting software, your website forms — connected properly so that when something happens in one place, the right thing happens everywhere else. No double entry or gaps.
02
Set it up once
The tasks that follow a predictable pattern, like onboarding a new client, sending a follow-up, updating a spreadsheet, notifying the right person , built once, running automatically. You handle the exceptions. The routine handles itself.
03
Map it before we touch it
Before we connect anything, we map what’s actually happening in your business. Often that’s where the real problem surfaces: not that the tools don’t connect, but that the process itself has gaps. We sort those first.
What you get back
The “did that happen?” feeling goes away.
The mental load of checking, chasing, and copying disappears. You stop being the glue between your own systems. That headspace doesn’t disappear, it moves back to where it belongs. Your business, not the admin of your business.
New client info lands in the right place automatically
Follow-ups go out without you remembering to send them
No more copy-paste between apps
Headspace back where it belongs – on the business
IN PRACTICE
HOW IT ACTUALLY WORKS
Most automation is just this: something happens in one place, and a few things happen automatically somewhere else. You don’t press buttons. You don’t copy and paste. It just runs.
Here’s what that looks like in practice.
WORKFLOW 01
Client books via Calendly
BEFORE
Client books a time. You get an email. You manually send a confirmation, create an invoice in Xero, and block your calendar.
AFTER
- Client picks a time in Calendly
- Confirmation email goes to them automatically
- Invoice created in Xero with their details
- Your Google Calendar blocks the time
- You get one notification — everything else is done
10–15 minutes saved per booking. Across 20 bookings a month: 3–5 hours.
WORKFLOW 02
New order in Shopify
BEFORE
Order comes in. You check Shopify. You send a follow-up email. You update your fulfilment list. You chase it up later if nothing happened.
AFTER
- Order placed in Shopify
- Personalised confirmation email sent to customer automatically
- Order details added to your fulfilment tracker (Google Sheets or similar)
- Internal notification sent to whoever handles packing/shipping
- Follow-up email scheduled for 3 days after delivery
No checking or copy-paste. Order handled start to finish without you touching it.
WORKFLOW 03
Overdue invoice in Xero
BEFORE
Invoice goes overdue. You notice (or don’t). You write a follow-up email, probably a bit awkward. You send it. You wait. Repeat.
AFTER
- Invoice hits due date unpaid in Xero
- Polite payment reminder sent automatically — in your tone, with payment link
- If still unpaid after 5 days: second reminder sent
- If still unpaid after 14 days: you get a notification to follow up personally
- Invoice paid: confirmation email to client, status updated in Xero
Chasing money is the task most business owners put off. This removes the decision to send — it just happens.
These are three examples. The list of what can be automated is much longer — and most of it is simpler than it looks.
Sound familiar?
Business owners who’ve grown into their tools without ever quite setting them up properly.
Who spend time on things that feel like they should be automatic by now.
Who know there’s a better way but haven’t had time to find it.
